Time Blocking and How It Helps
With being an agent, it is crucial to use your time wisely. An effective method for managing this is called time blocking. Time blocking allows you to schedule every minute of your workday, encourages you to spend your time on the most impactful activities, and gives you an understanding of how you spend your time. When time blocking your schedule, you need to plan every single minute of your workday. This includes activities such as driving to properties and even your lunch break.
Where to Start:
· Plan Your Client/Vendor Activities: As an agent, your number one priority is serving your clients. This means meeting with them and vendors who are working on properties should be the first activities to add to your calendar. Focus on confirming all meetings roughly a week in advance so you can block the rest of the hours during that workday. Of course, there will be times when clients request for meetings last minute, however, you have the power to schedule that meeting at a later time so that you can best serve and support them.
· Prioritize Your Business: Once you have scheduled your client and vendor activities, prioritize your business development activities. Block time on your calendar to focus on securing more clients or working on growth activities as it holds you accountable. First, you can create a list of all the things you’d like to work on. Whether it be following up with leads or redesigning your website, estimate a minimum and maximum time frame that will allow you to make progress on each task. Here is an example of what your list may look like:
1. Follow up with leads – Min. 10 minutes / Max. 1 hour
2. Create listings to share on Facebook – Min. 30 minutes / Max 1.5 hours
3. Plan a local community event – Min. 45 minutes / Max. 3 Hours
4. Launch new email campaign – Min. 20 minutes / Max. 2 Hours
Remember that the times you reserve for various business priorities are flexible. If a client calls and requests a meeting during the time that you had blocked to work on your new email campaign, you can give them that time. However, to be a successful agent, you need to ensure that you do block time to focus on business development.
Time blocking is a great way for an agent to ensure that they are using all hours of their workday wisely. This not only helps you stay organized but ensures that you are getting those high-impact projects done.
